Our hire agreement terms for wedding lighting services.

These terms and conditions ("Terms") govern all hire agreements between UBRIGHTEN WEDDING LIGHTS LIMITED (Company No. 16844893), trading as "UBrighten Wedding Lights" ("we", "us", "our"), and the client ("you", "your"). By placing a booking, you agree to be bound by these Terms.
1. Booking & Confirmation
- All bookings are subject to availability and are not confirmed until we have received your signed hire agreement and the required deposit payment.
- A booking confirmation email will be sent once your deposit has been received and your date has been secured.
- Please ensure all event details (date, venue, timings) are accurate at the time of booking. Any changes must be communicated in writing at least 14 days before the event date.
2. Deposit & Payment
- A non-refundable deposit of 30% of the total hire cost is required to secure your booking.
- The remaining balance is due no later than 14 days before the event date.
- If the balance is not received by the due date, we reserve the right to cancel the booking and retain the deposit.
- Payments can be made via bank transfer or online payment (Stripe). Cash payments may be accepted by prior arrangement.
3. Cancellation Policy
- More than 60 days before the event: The deposit is forfeited. No further charges apply.
- 30–60 days before the event: 50% of the total hire cost is payable.
- Less than 30 days before the event: 100% of the total hire cost is payable.
- Cancellations must be made in writing via email to bookings@ubwedlux.com.
- Date transfers may be possible subject to availability and at our discretion. A transfer fee of £50 may apply.
4. Delivery, Setup & Collection
- Delivery, professional setup, and collection are included in all packages within our standard service area.
- We require suitable access to the venue for setup. Any restrictions (stairs, narrow doorways, lack of power supply) must be communicated at the time of booking.
- Setup times will be agreed in advance. We typically require access 2–4 hours before the event, depending on the package.
- Collection will take place at an agreed time, usually within 24 hours after the event, or as arranged with the venue.
5. Equipment & Client Responsibility
- All equipment remains the property of UBRIGHTEN WEDDING LIGHTS LIMITED at all times.
- The client is responsible for the care and safety of all equipment from the point of setup completion to the point of collection.
- Any damage, loss, or theft of equipment during the hire period will be charged to the client at full replacement cost.
- Equipment must not be moved, adjusted, or tampered with by anyone other than our staff without prior written consent.
- We are not responsible for damage caused by venue staff, guests, or third parties.
6. Liability
- All electrical equipment is PAT tested and maintained to a high standard.
- We carry public liability insurance for all events we service.
- Our total liability for any claim arising from our services shall not exceed the total amount paid by the client for the relevant booking.
- We are not liable for any indirect, consequential, or incidental losses, including but not limited to loss of enjoyment, loss of photographs, or emotional distress.
- We are not liable for damage caused to venue property unless directly attributable to negligence on our part.
7. Force Majeure
Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to:
- Severe weather, natural disasters, or flooding
- Government restrictions, lockdowns, or pandemics
- Venue closure or denial of access
- Transport disruption, power failures, or strikes
- Civil unrest or acts of terrorism
In such circumstances, we will work with you to reschedule your booking where possible. If rescheduling is not feasible, a credit note will be issued for the full amount paid (including deposit).
8. Venue Requirements
- The client must ensure that adequate electrical power supply is available at the venue (standard 13A sockets).
- The client is responsible for obtaining any necessary permissions from the venue for our equipment installation.
- If we are unable to set up due to venue restrictions not communicated at booking, the full hire cost remains payable.
9. Photography & Marketing
We may take photographs of our setups for portfolio and marketing purposes. If you do not wish for your event to be photographed, please inform us in writing at least 7 days before the event. No photographs of guests will be used without explicit consent.
10. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
